How I Use AI to Plan My Workweek : A Realistic Routine for Busy People

In this post, I’m sharing my real-life routine where I use tools like ChatGPT, Notion, and Google Calendar to plan my workweek. Nothing fancy or complicated—just simple systems that help me stay on track, even when life gets busy.

Tools I Use Every Week

Here’s the AI-powered toolkit I rely on:

  • ChatGPT (Free or Plus): For brainstorming, priority lists, and quick clarity
  • Notion: My central hub for weekly tasks and projects
  • Google Calendar: To visually block my time and avoid overloading days
  • (Optional): Tools like Reclaim.ai or Motion can auto-schedule tasks, but I keep it simple

My Weekly Planning Routine (Step-by-Step)

1. Sunday Night or Monday Morning: Weekly Brain Dump with ChatGPT

I start by typing something like:

Hey ChatGPT, help me list all the tasks I need to get done this week related to my blog, personal life, and learning goals.

In return, I get a clean list I can copy-paste into Notion. It’s quick and saves brainpower.

2. Organizing in Notion: Grouping Tasks by Category

I paste my list into Notion under three columns:

  • Work (Blog, projects, etc.)
  • Personal (Errands, health, etc.)
  • Learning (Books, courses, etc.)

Then I assign each task a priority (High, Medium, Low). This makes the week feel less overwhelming.

3. Time Blocking with Google Calendar

Once I have my task list, I drag them into Google Calendar as blocks of time. Here’s how:

  • Big Tasks = 1–2 hours
  • Quick Wins = 30 minutes
  • Breaks & Buffer Time = also scheduled!

This helps me avoid that feeling of ,where did my day go?

4. Mid-Week Adjustments with ChatGPT

Sometimes I fall behind. That’s where ChatGPT comes back in:

I only finished 3 out of 8 tasks. Can you help me reprioritize the rest for Thursday and Friday?

It suggests a new plan in seconds—like having a personal assistant who doesn’t judge me.

5. Friday Review & Reflection

At the end of the week, I ask ChatGPT:

Help me reflect on this week. What worked? What didn’t?

I jot down a few lessons in Notion. It’s a small habit, but it helps me improve each week.
